Privacy Policy
This Privacy Policy explains how Interview Companion, Inc. (“Interview Companion,” “we,” or “us”) collects, uses, and shares information when you use our website, desktop application, mobile application, and related services (the “Services”). By using the Services you agree to the practices described here.
1. Information We Collect
Information you provide
- Account information. Email address and password (stored as an Argon2 hash). If you choose to sign in with Google, we receive your Google-account email and the opaque Google subject identifier instead of a password. We also store the name and version of the device you sign in from.
- Payment information. Subscription payments are processed by Stripe. We do not receive or store your full card number. Stripe shares with us only a customer identifier, subscription status, the last four digits of your card, and the card brand.
- Profile content. Resume fragments, behavioral stories, role context, and any other interview-prep material you choose to enter. This is stored locally on your Mac under
~/Library/Application Support/interview/profile/and, when you sign in, synchronized to our server so you can access it from other devices. - Mock interview answers. Audio recordings and transcripts of the mock-interview voice answers you record on your iPhone for AI coaching feedback.
- Support communications. Anything you send when contacting support@interviewco.ai.
Information captured by the Services
- Live interview audio. When you start a live session, the macOS system-audio output is captured on your Mac — directly via Apple’s Core Audio Tap API on macOS 14.4 and later, or, on earlier versions, through a virtual audio device you install (such as BlackHole). The audio is segmented by voice activity and sent to our speech-to-text and large-language-model providers for transcription and answer generation. Captured audio is processed in transit and on the provider; we do not persist raw audio bytes on our servers.
- Screenshots. When you press the global hotkey we capture a screenshot of your screen and send it to our LLM provider for vision-based answer generation. Screenshots are processed in memory and are not retained on our servers after the answer is produced, unless you have explicitly enabled a local recording feature on your own device.
- Transcripts and generated answers. The text transcript of each detected question and the AI-generated answer are retained in your session history so the iPhone and web companion can replay and regenerate them.
Information collected automatically
- Server logs. IP address, request timestamps, paths, status codes, and user-agent strings — used for security, abuse prevention, and debugging.
- Device data. Platform (Mac, iPhone, web), application version, and device identifier supplied at sign-in.
- Usage telemetry. Aggregated counts and timings (such as latency of solve calls) used to maintain quality of service. We do not run third-party advertising trackers.
2. How We Use Information
We use the information described above to:
- Provide, maintain, and improve the Services;
- Authenticate accounts, link your devices, and operate the iPhone companion;
- Process subscription payments, billing, and refunds via Stripe;
- Detect, prevent, and respond to fraud, abuse, security incidents, and violations of our Terms;
- Communicate with you about your account, billing, security, and product updates;
- Comply with legal obligations and enforce our agreements.
We do not use your audio captures, screenshots, transcripts, or profile content to train our or any third-party provider’s models without your separate, explicit opt-in.
3. How We Share Information
We share information only with the following recipients and only for the stated purposes:
- Stripe — payment processing, subscription lifecycle, and the customer billing portal. Stripe’s privacy practices are described at stripe.com/privacy.
- AI processing providers — speech-to-text transcription, LLM answer generation, vision-based screenshot solves, and mock-interview text-to-speech. These providers process the data on our behalf under enterprise API terms that exclude API submissions from being used to train their models by default.
- Cloud infrastructure providers hosting our database and application servers.
- Legal and safety — when we believe disclosure is necessary to comply with law, respond to legal process, protect the safety of users or the public, or protect our rights and property.
- Successors — in connection with a merger, acquisition, financing, or sale of assets, subject to confidentiality obligations.
We do not sell personal information, and we do not share it with third parties for their own direct marketing.
4. Data Retention
We keep account, profile, transcript, and answer data for as long as your account is active. When you delete your account or request deletion, we remove the personal data within a reasonable period, except for limited records we are required to retain (for example, billing records under tax law) or that exist in routine encrypted backups, which roll over within 35 days. Mock-interview audio bytes are discarded immediately after the session response is produced.
5. Security
We use TLS in transit, hashed passwords (Argon2), and role-restricted access to production systems. JWT access tokens are short-lived and refresh tokens rotate on every use. No system is perfectly secure; if you believe your account has been compromised, contact support@interviewco.ai.
6. Your Rights
You may, subject to applicable law:
- Access, correct, or export your account and profile data;
- Delete your account and associated data;
- Withdraw consent for any processing that relies on consent;
- Object to or restrict processing in certain circumstances, including direct marketing.
To exercise these rights, email support@interviewco.ai from the address associated with your account. We may need to verify your identity before responding.
7. International Transfers
Our servers and our service providers are located in the United States and other jurisdictions. By using the Services you understand that your information may be processed in countries whose data-protection laws differ from those of your country of residence. Where required, we rely on appropriate safeguards (such as the EU Standard Contractual Clauses) with our processors.
8. Children
The Services are not directed to children under 16 and we do not knowingly collect personal information from them. If you believe a child has provided us personal information, contact support@interviewco.ai and we will delete it.
9. Cookies and Local Storage
On the website we use only the cookies and browser local-storage entries strictly necessary for sign-in (a refresh token and a session marker). We do not run advertising, retargeting, or cross-site analytics cookies, and we honor browser Do-Not-Track requests by default because we do not track across sites in the first place.
10. Changes to This Policy
We may update this Privacy Policy from time to time. If we make a material change we will notify you by email or in-app at least 14 days before the change takes effect. The “Last updated” date above reflects the most recent revision.
